Overview

The objective of this role is to provide comprehensive support to the Director of Contracts and Quality, as well as to Division Executives, Program Managers, and Project Managers, by serving as the primary point of contact for contract administration, project control, and pricing/cost analysis. The role focuses on ensuring effective contract management, financial monitoring, and performance reporting, while maintaining high standards of quality, timeliness, and attention to detail. Additionally, the role requires proactive collaboration to achieve contract performance objectives, support leadership reviews, and contribute to the company’s growth and success with Federal clients.

Responsibilities

  • Revised Job Responsibilities

    • Report directly to the Director of Contracts and Quality, providing primary support to Division Executives, Program Managers, and Project Managers.

    • Operate within established guidelines to serve as the Headquarters’ principal point of contact for daily actions related to:

      1. Contract administration

      2. Project control

      3. Pricing and cost analysis

    • Prepare and distribute monthly and weekly reports.

    • Gather background information, perform analyses, and provide recommendations to support program/project manager reviews with clients as well as company leadership and program management reviews.

    • Maintain the CostPoint contracts module and the contract-related fields of the Division Personnel Tracker.

    • Monitor and report on contract burn rates and financial/workforce figures, including projections.

    • Conduct labor market surveys and provide recommendations for position pay rates for existing work and proposals/quotes.

    • Recommend and implement approved Key Performance Indicators (KPIs) to achieve client and company contract performance objectives.

    • Ensure work adheres to required quality standards and meets deadlines.

    Pricing Support

    • Assist with pricing tasks, including mapping labor category (LCAT) descriptions and requirements to salary survey data for price quotes and RFP responses.

    • Set up basic pricing workbooks.

    • Support Operations in developing Burn, EAC (Estimate at Completion), and ETC (Estimate to Complete) calculations.

    • Monitor labor funding burn rates (and non-labor funding for applicable contracts).

    • Assist in developing EAC/ETC reports and deliverables, highlighting variances and deviations in forecasts.

    Contract Administration

    • Review contract modifications (MODs) to understand their financial and operational impacts, including changes to scope, funding levels, and periods of performance (POP).

    • Accurately enter contract details and MODs into CostPoint.

    Reporting and Coordination

    • Use CostPoint to generate regular and ad hoc reports.

    • Act as a liaison between the Contracts and Finance teams to support Operations.

    • Perform data entry tasks for the implementation and maintenance of the Contracts Module.

Qualifications

Successful applicants will have a proven record of successful experience in at least one of the position’s three focus areas, (2) have a sense of urgency with regard to leadership and management inquiries, (3) demonstrate strong communication (written and oral) skills, (4) be process-oriented with a strong organizational capability, (5) show exceptional attention to detail in all endeavors, (6) have a proactive approach to daily activities and completion of project/contract requirements, and (7) a desire to advance with a growing professional services company focused on Federal clients.

  • A minimum of 4 years of experience supporting Federal clients in one or more of the position's focus areas.
  • Experience working with Deltek CostPoint.
  • Proven experience in creating and maintaining dashboards and detailed reports for executives/management, specifically in project contracting and financials.

Education

Bachelor's degree in Business, Accounting, Finance, or a closely related field.
