Overview

The objective is to coordinate, develop, and execute public communication activities. 

Background

The Department of Commerce is a pivotal federal agency tasked with promoting economic growth and job creation. Within this dynamic environment, the Administrative Assistant plays a crucial role in supporting high-level executives with sensitive and visible administrative tasks. This position involves meticulous planning and production of executive correspondence, managing complex calendars, and ensuring adherence to federal travel policies for both domestic and international trips. Proficiency in office software and equipment is essential, as is the ability to handle confidential information with discretion and understanding of organizational protocols. The Administrative Assistant contributes significantly to the smooth operation of executive functions within the department, embodying professionalism and efficiency in all duties performed.

Responsibilities

  • Performs sensitive and highly visible administrative functions.
  • Plans and produces executive correspondence, including but not limited to letters to external stakeholders, and internal memos.
  • Manages schedule and takes ownership of Executive’s calendars (e.g., scheduling, rescheduling, cancelling, coordinating with individuals and groups of individuals). 
  • Adhering to federal government travel policies, and using required travel platform(s), researches and presents travel options, and prepares domestic and international travel orders on behalf of the Executive(s).
  • Adhering to federal government travel policies, and using required travel platform(s), completes travel reimbursement forms within the required timelines on behalf of the Executive(s).
  • Coordinates and makes office supply orders.
  • Operates general office equipment and is proficient with Office Suite software applications.  
  • May perform or have access to activities of a highly confidential nature that may require comprehensive knowledge of organizational policies, practices, and procedures.

Qualifications

Approximately 6 or more years related experience.

  • Must possess excellent verbal and writing skills. 
  • Experience creating meeting invitations/ preparing and setting up in-person and virtual executive meetings.
  • Experience producing travel vouchers and completing travel reimbursement.
  • Highly skilled in Microsoft Office Suite, especially Word and Excel
  • Experience preparing documents for digital signatures (e.g., Adobe, DocuSign, etc.)
